How do I create an appointment group in the Scheduler?

Canvas recently introduced a new page design called the New Canvas User Interface (UI). This lesson may include two images for specific steps to show the difference between the two designs. Unless otherwise indicated, the functionality and location of the components remain the same. The view available to you is determined by your institution.

You can create appointment groups in the Scheduler. Appointment groups create a block of time where students can meet with you. Students can sign up for appointment times in their own calendars.

Once you've created an appointment group, learn how students sign up for appointments.

Note: The Scheduler tool is optional. If it is not already enabled for your account, please contact your Customer Success Manager.

Open Calendar

In Global Navigation, click the Calendar link.

Click the Scheduler button.

Create an Appointment Group

Click the Create an Appointment Group button.

Create Name and Location

Type the name of the appointment in the name field [1]. Type the location of the appointment in the location field [2].

Set the date of the appointment by typing in the date field [1] or clicking the Calendar icon [2]. Set the time range for the appointment by typing in the time range field [3]. Split the appointment into multiple time slots by selecting the length of the appointment slot in the slot field [4]. Make sure you click Go after putting the time range in.

Note: The appointment date, time range, and appointment slots cannot be modified once the appointment group is saved. However, additional dates, time ranges, and appointment slots can be added to the original appointment group.

You can limit how many users can sign up for a time slot by typing the number in the limit users field [1] and clicking the checkbox. To make the appointment slots public to students in the course, click the Allow students to see who has signed up for time slots in this group checkbox [2]. If you want to limit the number of appointments, click the Limit Participants to [number] appointment(s) checkbox [3]. If you want students to sign up in groups, click the Have students sign up in groups checkbox [4].

Note: When using the group sign up option, only one group member needs to sign up for a time slot on behalf of their group. Each member in the group will see the appointment on their own group Calendar.

Click the calendar drop-down menu [1] to select which calendar you want to save this appointment to. You can also limit signups to certain sections by selecting them in the calendar drop-down menu. After selecting the calendar, click Done [2].

Note: The calendar cannot be modified once the appointment group is saved. However, additional calendars can be added to the original appointment group.

Type the details of the appointment in the details field [1]. Click the Save & Publish button [2] to create the appointment. If you only want to Save the appointment and not publish it, click the Save button instead.

View Appointment

The screen will now list your existing appointment groups. To view a list of the individual time slots, click the appointment group name.

If you selected the time slot option, individual slots will appear in the Scheduler.

Once students have signed up for a time slot, the appointment will appear on your Calendar.

Modify Appointment

To modify the appointment, click the Settings icon [1]. You can edit the appointment [2], message students who haven't signed up yet [3], or delete the appointment [4].
