How do I use the People page in an account?

You can view all users in your account in the People page. You can view and filter users by course role and search for users individually. You can also sort search result columns in ascending or descending order.

For all users, you can manage and create account groups, manage profile pictures, and view user profiles.

Note: If enabled for your institution, you may see options to manage temporary enrollments on the People page.

If you have organized courses in your account by sub-accounts and those courses include enrollments, click the Sub-Accounts link to locate and open the sub-account, then click the sub-account's People link.

The People page displays all users in the account along with relevant details such as name, email, SIS ID, and last login. The page includes global filters and search tools at the top [1], optional filter checkboxes for temporary or deleted users [2], and a list of matching user records [3].

All elements on the page are responsive and adjust based on the browser window width to ensure visibility of user data.

The People page allows you to search for and filter users in the account using a set of global tools:

Roles Menu [1] – Select a course role to filter users by role. By default, all roles are shown. (Note: Admin roles are not included in this menu.)

Search Field [2] – Enter a user’s name, email, SIS ID, login ID, or Canvas user ID to search. If you have the SIS Data - Manage and SIS Data - Read permissions, you can also search by Integration ID.

Show only temporary enrollment recipients [3] – Check this box to filter for users with temporary enrollment as recipients.

Show only temporary enrollment providers [4] – Check this box to filter for users with temporary enrollment as providers.

Include deleted users in search results [5] – Enable this option to include deleted users in your search results.

All filters and search tools update the user list dynamically. The display adapts to your browser’s width to ensure all user data remains visible.

To add a user to the account, click the Add People button [1]. The Add People button only displays if you have permission to manage enrollments.

To manage account-level user options, click the Options menu [2]. If you have appropriate permissions, you can manage profile pictures and view user groups.

The People page paginates filter and search results in sets of 15 users and are ordered alphabetically by last name. Each paginated page displays in a table format but columns are responsive according to the widest column for that page.

Results display the user's name and profile picture [1], email address [2], SIS ID (if applicable) [3], and last login date and time [4]. A login on the current date displays the time only.

Each column heading can be sorted in ascending or descending order.

Notes:

  • Viewing user email addresses is an account permission. Depending on your permissions, you may not be able to view a user's email address.
  • If profile pictures are not available or a user has not yet set a profile picture, the user's initials will display in place of a profile picture.

To open a user's profile, click the name of the user [1].

If enabled for you institution you can create a temporary enrollment [2]. You can also act as the user [3], send a message from the Conversations Inbox [4], and edit user details [5].

The student profile displays information organized into several sections:

  • Name and Email [1]: Shows the student’s full name, display name, sortable name, profile picture, default email address, and time zone. Admins can also edit the user's profile details, act as the user, merge the user's account, and delete the user from the account.
  • Login Information [2]: Displays the student’s login credentials, SIS ID, and associated account. If permitted, you can manually manage login information to edit the login information or add an additional login and password.
  • Observers [3]: Lists any observers linked to the student, including the observer’s name, email, and the time of their most recent request.
  • Enrollments [4]: Shows all course enrollments for the student, including course titles, terms, enrollment statuses (e.g., active or completed), and roles.
  • Page Views [5]: Displays recent page views for the student. This data can be filtered by date and downloaded as a CSV file.
  • See Outcome Results [6]: If available, allows viewing the student’s outcome results.
  • Message [7]: Opens a window to send a direct message to the student.
  • Pair with Observer [8]: Allows pairing the student with an observer.
