How do I manage and preserve monitor data?

Maintaining accurate and relevant data within your Impact LMS dashboard is crucial for effective tool adoption analysis. What is the Monitor lifecycle?

Monitors are classified into two categories:

  • Active Monitors: These are current, functioning monitors that provide up-to-date tool adoption data.
  • Legacy Monitors: These are monitors that no longer gather data due to Canvas LMS updates, feature changes, or replacements. They are categorized under Legacy Monitors.

Ongoing Maintenance of Out-of-the-Box Monitors

As part of regular content updates, some Out-of-the-Box (OOTB) Impact monitors and reporting templates require ongoing maintenance, such as creating, deleting, or replacing monitors to ensure that your Impact Dashboard provides the most accurate and up-to-date tool adoption data. Every quarter, the Impact Content Team checks the OOTB reporting templates and monitors to see if anything is missing or broken, ensuring that all OOTB Impact content is working as intended.

Identifying and Viewing Legacy Monitors

When a monitor stops working or no longer is valid, it is added to the tool category entitled, Legacy Monitors.

In Tool categories, locate the Legacy Monitors tool category [1] and toggle on the visibility [2].

After visibility is enabled, the legacy monitors will show separately as part of your Impact Adoption Insights.

Handling Legacy Monitors

Changes will happen on a regular basis throughout the year based on Canvas updates and also as part of the quarterly maintenance with the aim of keeping your data visualizations and overall Impact Dashboard clean, clear, and up-to-date.

Legacy Monitors Less than Two Years Old

Legacy Monitors Less than Two Years

Monitors that stop gathering data for less than two years will be added to the dedicated Legacy Monitors category within the related Instructor, Student, Observer, and Integrated Tools Reporting Templates as shown above.

Legacy Monitors Older than Two Years

Monitors stop gathering data for a variety of reasons: feature updates, feature changes, or new functionalities replacing current ones in Canvas LMS.

Legacy monitors that have not been gathering data for more than two years will be permanently deleted from Impact.

Notifications for Legacy Monitor Deletion

The Impact Content Team will provide notification one month prior to the deletion of legacy monitors (that have stopped gathering data for more than two years) specifying which monitors will be removed and if/how they may be replaced with new monitors. This notification will be threefold: 

  • A note will be placed in the recurring release notes systray message placed on the Campaigns page
  • A separate systray message will be placed on the Impact Insights page
  • The Impact Content Release Notes page

Preserving Historical Data

Before legacy monitors are deleted, you can export any historical adoption data you wish to preserve. Once a monitor is deleted, the data is permanently removed from the Impact Dashboard.
